SAP WINDOW ELEMENTS


            From the previous post you would have learnt how to install an SAP GUI and logon to an SAP system, so now let's start to explore that how to perform various tasks in an SAP System through this post.

            I would like to share the information about the various elements of an SAP GUI Window.

            The elements of a typical SAP window from top to bottom are as follows:
        • Menu Bar
        • System Function Bar
        • Title Bar
        • Application Bar
        • Dynpro Area
        • Status Bar
            The below image shows the arrangement of the elements of a typical SAP window:

Menu Bar:
  • A Menu Bar is a horizontal strip that contains lists of menus which always resides at every top of the screen.
  • The Menu Bar changes from one screen to another. You follow a menu path to access a specific function or a transaction.
  • Menus are drop down, ie when you choose a menu item, further options displayed.
  • The standard menus displayed on the menu bar are as follows:

System Function Bar:
  • The System Function Bar is the bar below the menu bar as shown in the below image.
  • The icons in this bar are available on all R/3 screens which consists of a range of icons with general GUI functions
  • The icons which are necessary for the particular screen will be enabled.
  • A tool tip and function key is displayed when you place the cursor on the icons.
    • The functions of the icons in the system function bar are:
        1. Enter   (Enter):
          • It confirms the data you have selected or entered on the screen.
          • It will not save your work.
        2. Command field   (No Accelerator Key):
          • It is used to enter transaction codes.
          • You can also collapse and expand the command field where you can view your past transactions
        3. Save    (CTRL+S):
          • It Saves your work.
          • It is similar to save in the Edit menu.
        4. Back   (F3):
          • Returns you to the previous screen without saving your data.
          • If there are required fields on the screen, these fields must be completed first.
        5. Exit   (SHIFT+F3):
          • Exits the current function without saving.
          • Returns you to the initial screen or main menu screen.
        6. Cancel   (F12):
          • Exits the current task without saving.
          • It is similar to cancel in the Edit menu.
        7. Print   (CTRL+P):
          • It prints the data from the current screen.
        8. Find   ( CTRL+F) :
          • Searches for data required in the current screen.
        9. Find next   (CTRL+G) :
          • Performs an extended search for data required in the current screen.
        10. First page   (CTRL+PgUp):
          • Scrolls to the first page.
        11. Previous page   (PgUp) :
          • Scrolls to the previous page
        12. Next page   (PgDn):
          • Scrolls to the next page.
        13. Last page   (CTRL+PgDn ):
          • Scrolls to the last page.
        14. Create session   (No Accelerator Key):
          • Creates a new SAP session.
        15. Create shortcut   (No Accelerator Key):
          • Allows you to create a desktop shortcut to any SAP report, transaction, or task.
        16. Help   (F1):
          • Provides help on the field where the cursor is positioned.
        17. Customizing of local layout   ( ALT+F12 )
          • Allows you to customize the display options.
    Title Bar:
    • The title bar helps the user to identify the current screen.
    • It is situated horizontally below the System Function Bar which contains the name of the SAP application currently being displayed, for example, SAP Easy Access ABAP Workbench.

    Application Bar:
    • The application bar is located below the title bar.
    • The icons are similar to some of the functions in Menu Bar.
    • The SAP Application Toolbar CHANGES from one screen to another.

    Dynpro Area:
    • It is the main work area in the SAP window. The elements of the Dynpro Area are
        1. Fields
        2. Radio buttons and checkboxes
        3. Pushbuttons
        4. Tabs
        5. Table controls

  • The Status Bar:
    • The status bar provides general information on the SAP system and the transaction or task you are working on.
    • System messages are displayed on the left of the status bar like.
      • The SAP Status Bar does NOT change from one screen to another. It tells you WHERE you are in SAP:
        • Which environment you are using (Production , Development , Quality).
        • In which session you are in (as you can open up to 6 sessions).
        • What client you are using.

      SAP GUI


      SAP GUI
      • The SAP GUI is a GUI client which is part of the presentation layer
      • You need to install the SAP GUI on your machine to access the SAP systems from your machine.
      • To use the SAP system you must use SAP Logon on your windows PC which acts as an intermediate between the SAP system and the SAP GUI user interface.
      • The SAP Logon displays a list of available SAP systems where you can select the server which you want to access.
      • It also allows you to create, modify and delete the list of SAP systems which we like to access .


      SAP LOGON

          To start the SAP Logon, perform one of the following:
        • Double-click the SAP Logon icon on your desktop .
                                  (OR)
        • Choose the Windows menu Start-->Programs-->SAP Front End-->SAPlogon.


               The SAP Logon main window will appear like this.

         You can view the SAP system entries in 3 different ways with different properties displayed namely..
          1. Explorer view
          2. List View
          3. Tree View

      Explorer view:

            The Explorer View contains three folders by default:
            • Favorites
            • Shortcuts
            • Connections
             You can change the view of the main SAP Logon window by choosing the following buttons for the Explore View. And the main SAP Logon window will be displayed as follows



         Within these three main folders, you can create your own folder structure adapted to your working priorities:
          1. Select the respective folder
          2. Open the context menu by right-clicking
          3. Choose Add new subfolder The following dialog box appears:
          4. Enter a name for the new subfolder and choose OK.
          5. A sub folder will be created.

      List View:
             
                     You can change the view of the main SAP Logon window by choosing the following buttons for the List View. And the main SAP Logon window will be displayed as follows


      Tree View:
             
                  You can change the view of the main SAP Logon window by choosing the following buttons for the Tree View. And the main SAP Logon window will be displayed as follows


      The Connections Folder:
         
                When you open the Connections folder for the very first time, it may be empty. So you have to create the SAP system entries to the Connections folder or one of its subfolders.

      Creating SAP system Entry:
           
               To create or add a new entry to the system list do the following steps:
        1. Choose the   button or choose Add new entry from the folder's context menu.The following window will appear.
        2. You can search or select one of the systems if it is shown in the system list or if you have the system credentials you can click next button where the following window will appear.
        3. Give the respective entries and choose next.
        4. The following window will appear, where you can maintain the Network settings:

             Activate Secure Network Communication: 

            • This checkbox is active if the SNC name is defined in the SAP system to which you are going to connect.
            • You can then choose this checkbox to turn on SNC mode and select the required SNC level (for example, Max. available) by selecting one of the radio buttons below the input field SNC name.
            • When you activate the SNC mode, the Single Sign-On mode will also be activated automatically. Optionally you can deactivate the Single Sign-On mode now and use a standard logon with user/password instead.
             High speed connection (LAN):

            • This is selected as default.

             Low speed connection (reduced network traffic):

            • You can choose this checkbox to turn on the low speed connection (WAN mode).

        5. Check all entries, change them if necessary and choose Next.The last screen offers the possibility of maintaining the language and encoding settings:

        6.    Language Settings:
            • Choose the required language from the Language drop down list.

             Upload/download Encoding:
            • Choose the required encoding from the Encoding dropdown list.
            • Check all entries, change them if necessary and choose Finish.

        7. The active wizard window closes and the new system entry is added to the Connections folder.
      Changing Entries:       
        1. You can change an entry by selecting it from the system list and choosing the  button in the toolbar.
        2. Alternatively, you can open the context menu of the respective entry by right-clicking it in the list and choosing Properties...
      Deleting Entries:       
        1. Select the relevant item from the connection list.
        2. Choose the    button from the toolbar.
        3. Confirm deletion by choosing Yes on the following dialog:
      The Shortcuts Folder:

              On this tab you can directly execute:
          • Transactions
          • Reports
          • System commands

      The Favorites Folder:

              The Favorites folder allows you to easily bundle a group of systems that you currently use frequently.

      Logon Tab:
      • It is used to select the SAP servers from the list of items by choosing the   button.
      • The logon window for the relevant system appears as follows:
      Variable Logon:

                    It is used to logon to an SAP system without adding an item to the Connections folder by choosing    button.

      Showing SAP Logon Version:

              To call up information about the SAP Logon version proceed as follows:
        1. Click the icon in the top left-hand corner of the SAP Logon window.
        2. Choose About SAP Logon....
          The following screen appears:
